17. Field sales and the customer portal¶
Module
Part of Field Sales and B2B / B2C Portals. If your plan does not include it, these screens are not in your menus.
Field sales¶
Field. For representatives working away from the office.
Logging a visit¶
- Go to Field → Log Visit / Check In.
- Search for the customer.
- Type any notes.
- Click Check in.
The device is asked for its location and the visit is logged with the time. If location is refused or unavailable the visit is still logged, just without coordinates — it waits about three seconds and then goes ahead.
Field → Visits is the log of everything recorded.
Collecting a return¶
Field → Returns & Approvals. Choose the customer and the item, the quantity, and the condition — sellable, damaged or expired — and a reason. Click Log return.
It is then held for the back office. Somebody with the right permission approves it, which raises the credit note and reports its number. A representative sees the return listed but no approve button.
Ordering for a customer¶
Field → Order for Customer opens the storefront with a customer picker, so a representative can place an order at that customer's own prices while standing in front of them.
The customer portal¶
Storefront. This is what a customer sees when they sign in themselves. Staff can open it and act on a customer's behalf using the picker at the top; a customer never sees that picker and can only ever see their own data.
Seven tabs:
| Tab | What it shows |
|---|---|
| Shop | The catalogue at their contracted prices, with promotions marked and a quantity box on each row |
| My Orders | Their own order history |
| Deliveries | Live tracking, the same chain the warehouse advances |
| Most Ordered | What this customer buys most |
| Top Sellers | What sells best overall |
| Promotions | What is on offer now |
| Statement | What they owe, their credit limit, and every open invoice |
Ordering is one step: type quantities and click Place order. There is no basket page and no confirmation screen. The order then goes through approval like any other.
Note
The stock badge on the catalogue is information, not a block — a customer can order something marked out of stock.
