15. The month-end routine

Part of Finance Core. If your plan does not include it, these screens are not in your menus.

A suggested order of work. Nothing here is enforced by the system; it is the sequence that leaves the fewest loose ends.

During the month

  • Work the six worklists down — orders fulfilled, invoiced, collected; orders received, billed, paid.
  • Put away everything on the putaway list.
  • Deal with anything on the returns and holds lists.
  • Update expected arrival dates as suppliers tell you them.

At the end of the month

  1. Post the payroll journal — Payroll → Enter Payslip. Check the totals against the Whyze summary first.
  2. Record any landed costs against the receipts they belong to — Planning → Landed Costs.
  3. Import the bank statements and match them — Banking → Statements & Matching.
  4. Reconcile every bank account — Banking → Reconcile. Work each difference to nil, or record it knowing what it is.
  5. Post any accruals and corrections as journals.
  6. Run the annual depreciation if this is the year end — Fixed Assets → Run Depreciation.
  7. Check Reports → Trial Balance says balanced.
  8. Check Reports → Cash Flow says it ties to the bank accounts.
  9. Produce the tax return and read the exclusions box before filing.
  10. Produce the Profit & Loss and Balance Sheet.

Things worth looking at monthly

  • Reports → Dunning — who to chase — who has slipped a stage.
  • Planning → At Risk & Expiring — what is going to be written off if nothing changes.
  • Warehouse → Returns → Who sends them back, and why — whether returns are a customer problem or a product problem.
  • Warehouse → Expiry & Quality — whether the dates the picking rule depends on are still trustworthy.
  • Warehouse → Scan Log — a position that keeps rejecting picks has a label problem.
