Transfers

Moving stock between our own locations. In practice this is mostly loading the vans the day before a delivery round.

What you see

The Move stock form is always on screen, on all three tabs.

Three tabs beneath it: Open, Stock by Location and Completed, each with a live count.

On Stock by Location, where stock is sitting with its value and a count of what is expiring within 90 days, and below that every batch and expiry at one location.

Fields

Field What goes in it
From / To Both required, and they must be different.
Memo Optional. In practice the driver and the round date — ANDY - 21/08/2026.
Item Type-ahead. Each match shows the SKU, the name and how many are on hand.
Quantity Defaults to 1.

Buttons

Button When you can use it What it does
Create transfer Only once two different locations are chosen and one line has an item and a quantity above zero. Until then Pick two different locations and at least one item sits beside it. Creates the transfer. The form clears.
+ Add line Always. Adds another item line.
✕ On every line. Removes that line.
Approve On a transfer awaiting approval. Asks first, naming the transfer and both ends of the move, then approves it.
Reject On a transfer awaiting approval. Asks first, warning that a rejected transfer cannot be shipped. The confirm button is red.
Ship & receive On an approved transfer. Asks first. On confirming, the stock leaves the source and lands at the destination in one step. This is the normal van-loading path.
Ship only On an approved transfer. Asks first, then despatches it without receipting; the transfer goes in transit.
Cancel On an approved transfer. Asks first, then abandons it. Nothing moves.
Confirm arrival On a transfer in transit. Asks first, then books the stock in at the destination.

Rules this screen enforces

  • You do not choose batches. The system takes the batches that expire soonest, and they travel with the stock — so what goes on the van keeps its expiry dates and stays visible to the expiring-stock reports.
  • Lines with no item, or a quantity of zero or less, are dropped rather than refused.
  • Only Stock by Location shows the value at each location; the transfer itself carries no money.
