Every document¶
2 screens.
The Custom tab¶
the Custom tab on a document or a customer/vendor record
Where a field your administrator has added is actually filled in.
What you see¶
One box per field your administrator has defined for this kind of record, captioned with the field's own label and marked with an asterisk when it is required.
If required fields are empty, a warning above the grid names them.
At the foot, the buttons on the left and a count of how many fields are defined on the right.
Buttons¶
| Button | When you can use it | What it does |
|---|---|---|
| Save | Only once you have changed something. | Writes the fields you changed and reports how many were saved. |
| Discard changes | Only once you have changed something. | Throws away your unsaved edits and puts the stored values back. |
Rules this screen enforces¶
- A required field cannot be blanked out. Trying to save one empty writes nothing at all and names the fields in red — a partial save would be worse.
- Only fields you have touched are written.
When there is nothing to show¶
| Where | What it says |
|---|---|
| No fields defined | No custom fields are defined for this record type. Define one under Setup → Custom Fields and it will appear here. |
Printing¶
the Print button on a document
One document laid out on A4 with none of the application around it, so it can be printed or saved as a PDF and emailed.
What you see¶
A thin control bar that never prints, then the page itself at A4 size: letterhead with the company and registration numbers, the document title and its number and date, the party and their address, the lines, the totals, and a closing sentence.
A voided document carries a large diagonal VOID stamp and the reason it was cancelled.
Delivery notes and goods-received notes print quantities only — no prices — and end with two ruled signature lines.
Buttons¶
| Button | When you can use it | What it does |
|---|---|---|
| ← Back | Always. | Goes back to the document. |
| Always. | Opens the browser's print dialog. Choose Microsoft Print to PDF to produce a file you can email. |
Rules this screen enforces¶
- Amounts print with no currency symbol. The currency is stated once in the column heading and once on the total, because "$" alone means Singapore, US, Australian or Hong Kong dollars depending on who is reading — and these go to customers.
- If the party has no address on file the page says so on screen rather than printing a gap: No address on file for this customer. Better caught here than at the loading bay.
- A payslip printed this way carries a checklist, on screen only, of the twelve items Singapore law requires an itemised payslip to show, with anything missing marked in red.
When there is nothing to show¶
| Where | What it says |
|---|---|
| A document with no lines | This document has no lines. |
| A statement with nothing owing | Nothing outstanding. This account is fully settled. |
