For representatives working away from the office: logging a visit, and collecting goods a customer is sending back.

What you see

Three tabs: Visits (the log), Log Visit (checking in), and Returns (collecting and approving).

On Visits: customer, start, end, the coordinates if they were captured, notes, tasks and status.

Fields

Field What goes in it
Customer Required on both Log Visit and Returns. Type-ahead.
Notes Optional, three lines.
Item, Quantity, Condition, Reason A return. Condition is sellable, damaged or expired.

Buttons

Button When you can use it What it does
Check in Once a customer is chosen. Requests the device location, waits about three seconds and logs the visit either way — a refused or slow fix does not lose the visit, it just records no coordinates. Then switches to the Visits tab.
Log return Once a customer and an item are chosen. Logs the return, awaiting back-office approval.
Approve Only for someone with permission to decide returns. Asks first, warning that this issues a credit memo to the customer and takes the stock back. It is the only button on this screen that moves money.
Reject Same. Asks first, warning that no credit memo is issued and the goods stay where they are. The confirm button is red.

Rules this screen enforces

  • A representative sees the return listed but no Approve or Reject button — those appear only for someone with edit permission on returns.
  • The visit start time is the moment the button is pressed.
