Customer and vendor records

Lists → Customers / Vendors, then click a row

Who they are, their terms, everything they have transacted, and — for customers — a running statement.

What you see

The padded id and the name at the top, for example CUS0042 Kibble Supplies Pte Ltd.

Primary Information (name, email, phone, category, stage, active) and Financial (currency, terms, price level, credit limit, GST registration; lead time on a vendor).

Then tabs: Transactions, Statement (customers only), Addresses, Contacts, Custom.

Buttons

Button When you can use it What it does
Back Always. Goes back.
New Sales Order On a customer. Opens a blank sales order. It does not pre-fill this customer.
New Purchase Order On a vendor. Opens a blank purchase order.
Printable version On the Statement tab. Opens the statement ready to print.

Rules this screen enforces

  • The Statement is not the ageing report filtered to one customer. It answers "here is what you were charged and what you paid, in order, and this is where it leaves us" — the document a customer disputing a balance actually needs.
  • It carries the customer's terms as a badge, a dunning-stage pill, and — when they have slipped — a suggested action.
  • A late document shows an amber n d late pill against its due date.

Item record

Lists → Items, then click a row

Everything about one item: identity, stock and lots, who supplies it, its prices, and the accounts it posts to. Read-only.

What you see

The SKU and display name at the top, with a chip saying Inventory Item or Service Item.

Primary Information: item number, display name, UPC, type, brand, category, units, description.

Four tabs: Purchasing / Inventory, Suppliers, Sales / Pricing, Accounting.

On Purchasing / Inventory: on hand, available, purchase price, average cost, reorder point, preferred stock level, whether it is lot tracked — shown as Yes (FEFO) — and its shelf life; then every lot with its expiry and quantity.

On Suppliers: each supplier, their part code, the cost, the currency, and whether they are preferred or an alternative.

Back Always. Goes back. It is the only button on this screen.

Rules this screen enforces

  • The supplier's own part code is shown because without it, matching a line on their invoice to an item is done by eye.
  • Where a price is missing the screen prints no price on file rather than a zero — a zero would read as free.
  • Where suppliers quote in different currencies the screen refuses to name a cheapest and says why: comparing the numbers directly would be wrong.
