The Import centre¶
Setup › Migration › Import centre brings your opening position into Consoletium from spreadsheet templates: chart of accounts, tax codes, warehouses, customers, suppliers, items, opening stock with lots and expiry, open invoices and bills, bank balances and your trial balance at the cut-over date. It checks every row, shows exactly what will happen before anything is written, and reconciles the result against your old system's own reports.
A paid add-on
The Import centre is bought on its own at app.consoletium.com. Without it the screen explains what it is and where to add it. Only administrators can use it.
Before you start¶
- Choose the cut-over date: the last day your old system is the book of record. Balances are as at the end of that day.
- Run, in your old system, at that date: the trial balance, the receivables ageing, the payables ageing and the stock valuation. You will type their totals in step 4, and Consoletium is checked against them.
Step by step¶
- Download the templates. One CSV per kind of record — or Download all (zip), which includes an example of each. Fill in the ones you have.
- Upload the filled-in files with the cut-over date. You can upload the CSV files, one .zip of them, or one Excel workbook with a sheet per template, named like the file (
customers,open_ar…). - Validation. Every problem is listed with its file and line, for example
customers.csv line 7: payment_terms_days must be a whole number. Fix the file and upload it again. Nothing has been written yet. - Control totals. Type the totals from your old system's reports. Leave blank anything it cannot give you — that check will show as not checked, never as passed.
- Preview. See what will be created, updated or skipped (with the reason for every skipped row), how each of your accounts maps onto Consoletium's chart, how your tax codes map, and the opening journal.
- Import. Confirm, and it is written. Only a preview without errors can be imported.
- Reconciliation. Consoletium's trial balance, receivables, payables and stock at the cut-over, next to your totals, with the difference.
- Sign-off pack. Download the document, print it, have it signed, file it.
Filling in the templates¶
- Keep the header row as it is. A column you have no data for can be left empty.
- Money:
1234.50(a thousands comma is fine). Dates:2026-12-31or31/12/2026(day first). Yes/no:trueorfalse. - id links rows together: an invoice's
customer_idis the customer'sid, an item'sincome_account_idan account'sid. Leaveidempty and the code, SKU or number is used. - accounts: mark your receivables, payables, inventory, retained earnings and GST/SST accounts in
system_role— they then land on Consoletium's own control accounts. - opening_balances is your trial balance at the cut-over, one row per account. Debits must equal credits.
- open_ar / open_ap: one row per open invoice, credit note, bill or supplier credit, with its
totaland theamount_duestill unpaid. A foreign-currency document needs itscurrencyandexchange_rate. - opening_stock: one row per item, warehouse, lot and bin, with
quantityandunit_cost.
What happens to your data¶
- Your accounts are mapped onto Consoletium's chart; accounts it has no equivalent for are created beside it, keeping your number where it is free.
- Opening stock arrives in its lots and bins at your cost.
- Each open invoice and bill becomes a real open document: it shows on the ageing, on statements and in payment runs, and can be paid or credited as normal.
- An opening journal at the cut-over carries whatever the documents do not, so Consoletium's trial balance at the cut-over equals yours.
- Importing the same files again updates — it never duplicates.
Limits¶
Up to 30 files and 60 MB per upload, 25 MB per file, 100,000 rows per file. A zip whose contents try to write outside its folder, or that expands far beyond its size, is refused before anything is read.

The NetSuite Migration Kit is a separate, deeper path that also brings history, and is run with Consoletium's team.
