Employees¶
One screen.
Directory, Positions, Org Chart, Time Off¶
Employees
Basic staff records, the shape of the organisation, and leave.
What you see¶
Directory lists everybody with their position, department, hire date and status; clicking a row opens their record and their leave balances.
Positions lists the job titles and who each reports to, beside a form to create one. A position can exist before anybody is hired into it.
Org Chart draws the reporting lines from the positions, with a headcount badge on each and the word "vacant" where nobody holds it — built from positions rather than people, so a vacancy is visible.
Time Off is two panels: requesting leave on the left, and the approval queue and monthly accrual on the right.
Fields¶
| Field | What goes in it |
|---|---|
| Employment status | Active, On Leave or Terminated. |
| Title, Department, Subsidiary | A new position. Only the title is required. |
| Leave type, From, To, Days, Reason | A leave request. The first four are required. |
| Period | The month to accrue. |
Buttons¶
| Button | When you can use it | What it does |
|---|---|---|
| Save | On an opened employee. | Saves their employment status. |
| Create | Once a title is filled in. | Creates the position. |
| Submit request | Once the leave type, dates and days are filled in. | Asks first, warning that the day count is typed rather than worked out from the dates, then submits it. |
| Approve | On a pending request. | Asks first, naming the person, the type, the dates and the days, then approves it. |
| Reject | On a pending request. | Asks first, then rejects it. The confirm button is red. |
| Run accrual | Always. | Accrues leave for the chosen month. Safe to run twice — anybody already accrued is skipped. |
| ✕ | On the employee search. | Clears the selection. |
Rules this screen enforces¶
- Changing somebody to Terminated here does not stop them signing in. Switching off their access is a separate action under Setup → Users, and it must be done deliberately.
- Days is typed, not worked out from the dates. A Monday-to-Friday request will not fill in 5 by itself — check it.
- Nothing accrues leave in the background. Trigger it once a month.
- The Positions screen shows a Reports to column but has no control for setting it, so every position created here starts at the top of the chart. That is a known gap.
When there is nothing to show¶
